Our Financial Services Client is looking for a Senior Administrative Assistant to support their legal team (specifically attorneys).

Must have strong organizational and communication skills. Position requires attention to detail, desire to learn, strong work ethic and flexibility. Proven analytical skills along with information technology and finance knowledge are a plus. Individual needs to have experience in a fast-paced environment. Associates degree preferred in administrative position or equivalent work experience particularly in the legal field (e.g. law firm or corporate law department).

Support Functions

  • Coordinate and distribute accurate reports and analyses in a timely manner as assigned
  • Handles confidential correspondences and delivers to correct individual
  • Prepares memorandums
  • Assists in scheduling appointments and meetings
  • Pays close attention to detail
  • Demonstrates good judgment in the prioritization of work
  • Coordinates and prepares travel arrangements
  • Prepares expense reports
  • Consolidates information from multiple sources into single report

Respond effectively to inquiries from the management team and business clients

  • Maintain positive attitude and good relations with all members of the team
  • Actively participates in personnel and team development
  • This individual will deal directly with all levels of management

Confidentiality

  • Ensure confidentiality and professional handling of all requests and information
  • Ensure high degree of initiative and discretion
  • Ensure good customer relations and communications
  • Sensitive to the attorney-client privilege

Complete other duties as assigned

  • Completes and coordinate special projects as assigned or initiated
  • Performs other administrative duties as assigned
  • Complete Purchase Requisitions

What You Have:

  • Associate’s or Bachelor’s degree
  • Minimum 5 years administrative experience
  • Proficient in Microsoft Office Suite and all presentation software
  • Demonstrated ability to appropriately handle sensitive and confidential situations
  • Professional demeanor
  • Demonstrated ability to work independently as well as part of a team
  • Excellent oral and written communication skills with the ability to interact effectively with management and non-management employees
  • Demonstrated attention to detail
  • Excellent proofreading skills
  • Ability to handle multiple projects and prioritize effectively to meet all deadlines
  • Self-motivated, results oriented
  • Ability to work in a time-sensitive environment with changing deadlines
  • Excellent analytical skills, with the ability to identify issues, work to resolve and/or elevate appropriately
