Senior Business Operations Analyst

Albuquerque, NM

On-Site Role

Compensation: Starting at $22

ABOUT THE ROLE

Our client is seeking two Senior Business Operations Analysts to join their team in Albuquerque. In this office-based role, you will be responsible for maintaining and organizing both electronic and physical records, protecting confidential information, and managing document processing in compliance with established procedures. You will review and track records, digitize and file documents, ensure data accuracy, and prepare administrative reports. The position requires accuracy, timeliness, confidentiality, organization, and attention to detail. You will also provide responsive customer service and demonstrate proficiency in administrative and document-management technology. The ideal candidate will have strong organizational skills, attention to detail, and proficiency with Microsoft Office and document-management systems. Experience in public or government records management is preferred. The role requires the ability to work independently, handle sensitive information with discretion, and manage multiple priorities in a fast-paced, office-based environment.

WHAT YOU'LL DO

  • Review and track records of documents, including requests received, response status, and documents provided
  • Scan, digitize, upload, index, and electronically file documents in accordance with established records-management procedures
  • Maintain organized electronic and physical filing systems to ensure records can be efficiently located and retrieved
  • Perform data entry and verify the accuracy and completeness of information entered into records-management and administrative systems
  • Ensure scanned documents are legible, properly named, accurately indexed, and stored in the appropriate electronic location
  • Assist with the conversion and organization of paper records into electronic formats
  • Assist in document processing, scanning, filing, records retrieval, and IPRA response documents
  • Prepare reports, spreadsheets, logs, correspondence, and other administrative documents as needed
  • Perform general administrative duties and other related responsibilities as assigned
  • Maintain confidentiality and security of sensitive, confidential, and protected information
  • Communicate professionally and effectively with employees, public officials, members of the public, and other stakeholders
  • Utilize Microsoft Office and document-management systems proficiently
  • Work independently and coordinate with multiple departments to meet deadlines
  • Handle physical tasks such as sitting, standing, bending, reaching, and occasionally lifting or moving boxes of records and office materials
  • Maintain accuracy and productivity while working under stress, frequent interruptions, and competing priorities

WHAT YOU BRING

  • Associate degree in Business Administration, Public Administration, Accounting, or related field, or equivalent combination of education and experience totaling three years
  • At least one year of directly related experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, or business management principles
  • Knowledge of administrative procedures, records management, document control, and electronic filing practices
  • Strong organizational skills and attention to detail
  • Ability to accurately manage large volumes of documents and information
  • Ability to maintain accurate records and meet established deadlines
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook)
  • Ability to learn and use document-management, records-management, scanning, and database systems
  • Ability to maintain confidentiality and exercise sound judgment with sensitive information
  • Effective professional communication with employees, public officials, members of the public, and stakeholders
  • Ability to work independently and coordinate with multiple departments
  • Experience with public or government records, records retention, or document management (preferred)
  • Experience with filing systems (preferred)
  • Experience with electronic records-management or document-management systems (preferred)
  • Experience scanning, indexing, and electronically archiving high volumes of documents (preferred)
  • Experience providing basic technical or administrative support (preferred)
  • Previous experience in a municipal, county, state, or other governmental environment (preferred)
  • Ability to sit, stand, bend, reach, and occasionally lift or move boxes of records and office materials
  • Ability to perform detailed computer and document-processing work for extended periods
  • Ability to maintain accuracy and productivity under frequent interruptions and competing priorities
