Proposal Specialist

St. Louis, MO

On-Site Role

Compensation: $25 – $30 per hour

ABOUT THE ROLE

Our client is seeking a Proposal Specialist to support their sales team and contribute to the sales cycle by managing the end-to-end bid development process for telecommunications services, primarily targeting local and state government educational institutions. This fully on-site role in Town & Country, MO involves reviewing and interpreting RFPs, RFQs, and other solicitation documents, coordinating with internal stakeholders across Billing, Finance, Product, and other departments, and drafting compliant, high-quality proposal responses under tight deadlines. The Proposal Specialist will leverage content libraries and proposal management tools, maintain proposal documentation in Salesforce, and ensure all submissions meet client requirements and compliance standards. The role also includes following up with internal teams to secure necessary approvals and signatures, providing status updates and metrics to the sales team, and supporting final submission and post-submission activities. The ideal candidate will possess strong writing, editing, and organizational skills, advanced proficiency in Microsoft Office, and experience managing multiple projects simultaneously. Experience with proposal management software and supporting enterprise sales organizations is preferred.

WHAT YOU'LL DO

  • Develop, edit, and assemble proposal responses for RFPs, RFQs, and other bid opportunities.
  • Review and interpret solicitation documents to determine proposal requirements.
  • Coordinate with sales teams and subject matter experts to gather necessary information for proposal completion.
  • Leverage Qvidian, approved content libraries, and proposal management tools to create compliant, high-quality responses.
  • Maintain proposal timelines and ensure all deadlines are met, often managing multiple solicitations simultaneously.
  • Format and organize proposal documents to ensure consistency, professionalism, and compliance with customer requirements.
  • Create and maintain Salesforce opportunities and associated records and documentation.
  • Review proposal deliverables for quality, accuracy, grammar, and completeness.
  • Analyze bid requirements and communicate deliverables to internal stakeholders across departments.
  • Assist with maintaining reusable content, boilerplate language, and response libraries.
  • Support final submission activities and post-submission follow-up efforts.
  • Provide status updates and metrics to the sales team throughout the proposal process.
  • Secure necessary approvals and signatures from internal teams to ensure timely and compliant submissions.

WHAT YOU BRING

  • Strong attention to detail and a high degree of accuracy in written work.
  • Advanced Microsoft Office experience, particularly with Word and Excel.
  • Experience with Salesforce for managing proposal documentation and opportunities.
  • Exceptional written communication and editing skills, with the ability to synthesize large amounts of information quickly.
  • Ability to manage multiple deadlines and projects simultaneously in a fast-paced environment.
  • Strong organizational and project coordination skills, with a sense of ownership and accountability.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Experience with proposal, RFP, RFQ, bid management, marketing, communications, or technical writing (preferred).
  • Experience using Qvidian, Responsive, Loopio, or similar proposal management software (preferred).
  • Experience supporting enterprise sales organizations (preferred).
  • Bachelor's degree in Business, Communications, English, Marketing, or a related field (preferred).
  • Excellent stakeholder management and follow-up skills.
  • Comfortable working under deadline pressure and adapting to shifting priorities.
